# Report designs

Reusable branded designs for every report your organisation generates.

A **report design** controls how a report looks: its colours, fonts, logos, footer, which sections it includes and in what order, and any custom pages you add. Designs are shared with everyone in your organisation, so a report generated by anyone in the team comes out with the same look. Pick a design whenever you generate a report, or set one as the default so it applies automatically.

Report designs are enabled per organisation by the BAI Analytics team. Without them, every report uses the standard design and you can still brand it with your logos (see [Branding your reports](/boundaryai-docs/analysing-your-feedback/reports.md#branding-your-reports)).

## Where to find them

Open **Settings** and choose **Report designs**, or use the **Report settings** menu in a feedback group's Reports panel. The page lists **Your report designs** with, for each one, the report type it applies to, what it customises (Branding, Report sections, Custom pages), and whether it is **Your default** or the **Org default**.

From a design's actions menu you can duplicate it, delete it (for everyone in the organisation), and manage defaults:

* **Set as your default**: the design you personally get when you do not pick one.
* **Set as org default**: the design everyone in the organisation gets when they do not pick one. Your own default wins over the organisation's.

### Choose the report type

Click **New design** and pick what the design is for: **Feedback group reports**, **Source reports** (one survey, upload, integration, or web and social source), **Theme & monitor reports** (individual and grouped), or **Any report (branding only)**, which carries colours, fonts, and logos to every kind of report.

### Choose a starting layout and language

Start from the **Standard report**. Organisations with additional report layouts enabled can also start from those pages and make them their own; the standard report stays unchanged either way. **Template language** (English, French, or Spanish) sets the starter text and the preview language without changing your app language.

### Name and save

Give the design a name (for example "Q3 client report"), adjust it in the builder, and click **Save changes**. **Save & set as my default** saves it and makes it your default in one go. Saving updates the design for all users, and the builder warns you before you leave with unsaved changes.

## The builder

The builder shows a live **Preview** with sample data on the right and two panels of controls on the left: **Report style** and **Content**. Select content in the preview to jump to its settings, and use **Preview report** to see the full document.

### Report style

* **Colors**: four roles drive the whole report. **Primary** is your main brand colour: headings, section titles, table headers, cards, and the default cover treatment follow it. **Accent** colours highlights such as section dots, links, and chart accents, and follows Primary unless you set it. **Text** is the body copy, and **Page background** fills every page except the cover. Optional overrides let you give table headers and cards their own colours, recolour the five sentiment bands, or replace the cover gradient with your own two colours. **Reset** on any override goes back to following Primary.
* **Typography**: a **Heading font** and a **Body & data font**, chosen from Google fonts, system fonts, or **Your fonts**, plus heading sizes and body text size. To use your own brand typeface, drop font files or a whole folder onto **Add font files** (TTF, OTF, WOFF, or WOFF2): the family name, weight, and style are read from each file, files that are already in your fonts are skipped, and one click on **Use as report font** applies the family to headings and body. Fonts are organisation assets, so they are available in every design. PDF exports embed your fonts; Word exports use them only when the font is installed on the reader's computer.
* **Logos**: the primary and optional secondary logo saved with this design, printed on every report that uses it. Leave a slot empty to inherit your saved default logo or your organisation's logo.
* **Footer**: an optional footer text (a company name or legal notice) and whether to **Show page numbers**.
* **Custom page setup**: settings shared by every custom page in the design, such as a background image (a watermark or letterhead) with its fit and opacity.

### Content

The **Included sections** list shows the report's sections in print order, with the built-in ones for a feedback group report being **Cover**, **Executive summary**, **Priority matrix**, **Detailed analysis**, **Action plan**, **Methodology**, and **Annexes**. Source reports and theme & monitor reports have their own set, including the review pages (**Ratings and trend**, **Reviews to answer**, **Customer voices**) for web and social sources. Drag sections to reorder them.

* **Remove from report** takes a section out of the report while keeping its settings; it moves to **Not in this report**, and **Add back** restores it with everything intact. Any section can be removed, including the cover and introduction.
* Each section is marked **Follows design** or **Custom appearance**. Open **Appearance** to give one section its own heading font, body font, colours, or background; unset values keep following the design, and **Use Design settings** removes the override. The cover has its own appearance panel, including the cover gradient.
* **Section name** labels the section in the outline and the contents page; **Heading on page** is the printed heading.
* **Customize layout** converts a built-in section into an editable canvas page so you can move, resize, and add content; **Restore original layout** brings the built-in version back. **Insert custom page** adds a blank page of your own anywhere in the report.

## The canvas editor

Custom pages and customised sections open in the canvas editor, a page-by-page layout tool. **Add to page** lists the blocks you can place, grouped as **Highlights**, **Sentiment & trends**, **Themes**, **Evidence & actions**, and **Report details**. Alongside free-form blocks (text, heading, image, logo, table, divider, box) there are data blocks that fill themselves from the report: metric cards, the health score gauge, the sentiment distribution and breakdown, the themes table and theme detail cards, the priority matrix, a multi-period trend chart, the executive summary, the action list, analysis scope, glossary, and, for source reports, question cards, distribution bars, an NPS split, review cards, a quote wall, and period comparison chips.

Text blocks accept **Variables** such as the report name, period, scope, source count, health score, average rating, NPS score, or today's date. Type `{{` in any text to search them; they are filled in when the report is generated.

Editing works as you would expect from a slide editor: drag blocks and they snap to other blocks' edges and centres and to the page margins, with guides drawn as you go (hold Alt to drag freely); nudge a selection with the arrow keys (Shift for larger steps); align, duplicate, bring to front or send to back; undo and redo; zoom in, out, or fit to width. Pages are navigated from the page dropdown or the **Thumbnails** strip, and **Page actions** lets you duplicate a page or move it earlier or later. **Page setup** applies to every page (size, orientation, background), while **This page's background** lets one page have its own colour or image.

**Back to design** returns you to the builder, with a confirmation if there are unsaved changes.

## Using a design

* **When generating a report**, the **Report design** field offers the standard report, your saved designs, and the current default. The preview shows the chosen layout with sample data.
* **Recurring schedules** either follow the current default on every run or pin the design you picked; the field tells you which.
* **Period-close reports** use your default feedback group design.
* **Theme and monitor reports** offer a **Report style** picker in their export dialog.
* **Source reports** pick a **Source report design** in the **Build a Report** dialog.

Every report lists the design it was generated with. If a design is deleted before a queued report runs, that report falls back to the standard design and says so.

## Exports

Designs render to **PDF**, **Word (.docx)**, and **PowerPoint (.pptx)**. Word export is not available for fully custom page layouts; download the PDF or PowerPoint to preserve the layout.

## Additional report layouts

Some organisations have additional report layouts enabled by the BAI Analytics team, for example multi-location benchmark pages that rank each location against the group and its activities. When enabled, they appear as an extra **Starting layout** when you create a design and add their own variables and data blocks to the canvas editor, so you can insert their pages into any design and edit them like your own. They never replace the standard report.
